Terms and Conditions

Trade with Island Food Safety is subject to the following terms and conditions for course bookings and amendments. By placing a booking you are agreeing to abide by these terms and conditions.

1. Amendments to courses

1.1 Where you wish to amend course details/times/attendees then these should be completed, in writing, 10 (ten) working days prior to a course taking place.

2. Course Transfer – change of venue/location

2.1 Where you wish to move a course to a different venue/location, but the course type and date remains the same then this can be arranged, but notification of this is required a minimum of 14 (fourteen) working days prior to a course taking place.

2.2 Where a change of venue/location is required for the same course on the same course dates, then additional charges would apply for travel, accommodation and any other additional related expenses.

3. Changes to type/level of course

3.1 Where you wish to change the booked course to a different course type/level, this may be possible, but the course fees of the original course will be payable where you are booking a course of a shorter length. The course type/level cannot be changed within 14 (fourteen) working days of the booked course taking place. Additional fees and costs may apply.

4. Changes to candidates attending a course

4.1 Confirmation of candidates attending is required a minimum of 10 (ten) working days prior to a course date. Additional candidates may not attend a course unless by prior arrangement, up to the maxmimum numbers permitted for a particular course.

4.2 Please note, some regulated examinations require booking of individual course candidates and name changes/late additions, or change of location of a course, are not allowed; this can overide any of the these terms for changes/amendments to courses, as the examination board terms have to be complied with. We can advise accordingly dependent on the examination being booked.

5. Course Postponement

5.1 A course may be postponed to the same or a different venue/location of the original course. There may be additional charges for a change of course venue/location.

5.2 Where you wish to postpone a course you must rebook a course to be held on a date/s within ninety (90) days of the original course booking date. This period may be extended upon request.

5.3 There would be a charge for the postponement equivalent to the course fee, plus travel and accommmodation costs on each request for postponement; a new invoice would be issued for this charge on receipt of the request to postpone a course. The postponed course fee charge will be payable within 7 (seven) working days of the issue of the invoice (invoice date); where a purchase order is issued, the purchase order must be issued within 5 (five) working days of the invoice for the course postponement being issued (payable within 7 (seven) working days of the issue of the invoice (invoice date)).

5.4 You may postpone a course as often as you wish, but on each occasion a course fee will be charged and is payable (as above).

5.5 Rebooking of a postponed course must take place within 14 (fourteen) working days of the postponement request, to a date within ninety (90) days of the original course booking confirmation date.

5.6 The original courses invoice/s remains payable (within the terms of payment of the invoice), but the course can be postponed to the revised dates and/or venue/location as per above.

5.7 Costs already incurred for a course are payable, so additional charges would be payable for the revised course (where moved to a different date/s and/or venue/location), including travel, accommodation and any other related expenses to the original course. Such charges will be advised accordingly on the request for the postponement to a different venue/location and/or dates is received and confirmed.

5. Course Postponement – continued

5.8 Where a revised course date are not confirmed within 14 (fourteen) working days of the course postponement request the course is considered cancelled and full payment is required as per the original course booking (see below for course cancellation).

5.9 A course may not be postponed within 3 (three) working days of a course date (first day of any multiple day course) unless by prior written agreement.

6. Course Cancellation

6.1 Where the option to transfer a course (for the same date but to a different venue/location) or course postponement (to a different date and/or venue/location, within the postponement terms) is not taken and you wish to cancel the course, the course fees and charges are payable as per the invoice/s issued for the course.

6.2 Following a course confirmation (and subsequent purchase order – if applicable) a course may not be cancelled without charges applying; as per above there is the option to transfer or postpone a course (please see the previous page of these terms for details). Full payment of a cancelled course is required.

7. Payment

7.1 Payment for courses is required within 3 (three) days of the course booking confirmation (via email), where an invoice will be issued (via email), unless by prior arrangement for other payment terms beyond 3 days are agreed.

7.2 Payment terms are strictly within 3 (three) days of the booking confirmation unless by prior written arrangement.

7.3 All course fees and expenses are payable at the time of booking.

7.4 Payment of the invoice confirms the course booking.

7.5 Where other payment terms have been agreed, a course booking confirmation via email is considered as the course booking and considered firm thereafter.

7.6 Where purchase orders are used, a purchase order must follow within 5 (five) working days of the course booking confirmation email. In these circumstances, the course booking confirmation email remains the course booking confirmation.

7.7 Please ensure payment is made within agreed terms.

7.8 We reserve the right to claim statutory interest at 8% above the Bank of England base rate for late payment in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.

7.9 An administration charge of £15 (fifteen) will be levied for each reminder issued for an outstanding invoice.

7.91 Where further action is required for late payments all costs associated will be levied to the individual, company, business or organisation named on the invoice.

8. Revisions to terms and conditions

8.1 Occasionally terms and conditions are amended. The amendment date is reflected on the terms and conditions. A copy of these terms and conditions is available at the time of booking a course upon request.

9. Governing Law and Jurisdiction

9.1 These terms and conditions are subject, and all contractual and non contractual matters arising out of it, shall be governed by English law and shall be subject to the exclusive jurisdiction of the English courts to which the Parties submit.
